Reasons for contacting you will be for your own interest, including but not limited to informing you of a cancellation of a class/choir practice/event or a change in our class timetable, or to inform you of upcoming events that may be of interest. We believe that our communication to you will not be intrusive, and you have the option to opt out at any point.

Under the GDPR (General Data Protection Regulation) we control and process any personal information about you electronically using the following lawful bases:

What data do we process?

We keep a record of the full names of adult participants including parents/carers and for children, first names only. We also keep a record of mobile and/or landline telephone numbers and email addresses of participating adults including parents/carers.

How do we collect data?

Information is collected in the following ways: On a paper registration form that is filled in by Nicola Bets and the participant when joining the group; via WhatsApp, Facebook messenger and other social media platforms when a participant makes an enquiry about a particular group or wishes to join.  This information is then transferred onto a code encrypted device e.g. laptop/mobile phone for the purpose of communication via email, WhatsApp and text.

If you contact Nicola Betts via email, WhatsApp, Messenger, text etc. to enquire about any of our services, we will respond accordingly.

How is the data stored?

Data is stored digitally on a password and anti-virus protected desktop and laptop computer and, on a password protected mobile phone.

Where data is collected using a paper registration form, it is stored in a secure folder for up to 5 years.

How we use your data

In the event of a group being cancelled, our preferred method of contact to inform our participants is by email. However, we will contact some participants via text, WhatsApp, Messenger on request and where email is not an option.

We may send occasional emails to inform you of any additional classes or workshops that are running that may be of interest to you, or to remind you of up-and-coming classes/activities. You can opt out of this at any time.

We may occasionally ask for feedback about the services we offer using a site such as Survey Monkey or Doodle Poll. All communication is direct from Nicola Betts.

Data retention period

From the time you stop attending a particular group, we will hold your data for no more than 5 years from the date of leaving after which time it will be deleted from our records and any paper copies destroyed (shredded). If you choose to opt out from our correspondence before then, all data will be deleted, and hard copies destroyed asap.

Online booking system

Tiny Toes Music and the Children’s Choir uses the website to handle bookings. If you book via happity, you are subject to their Privacy Policy and Terms and Conditions. These can be found at:



The York Wellbeing Choir and Tiny Toes Music are run on a PAYG basis, to be paid for by either cash or contactless card machine on arrival to the activity. If a participant does not attend a session, there is no fee.

Photograph & Video Consent

All images in photographs and videos taken at and during all ‘Nicola Betts Community Musician’ activities and events are unidentifiable.

All participants are required to give permission for their images to be used in photographs and videos either via email or face to face at a particular group/activity/event.

Permission to use photographs and videos

Photographs and videos connected with Tiny Toes Music and Nicola Betts Community Musician will be taken from time. The images may be used in printed and online publicity to help achieve the aims of Tiny Toes Music and Nicola Betts Community Musician. All images will be unidentified. Please sign for permission granted.

Tiny Toes Only: I give permission for my image and the image of my child (un-named) to be used in photographs and videos connected with Tiny ones Music.

Consent for photograph permission is taken from all participants and updated at regular intervals. If participants leave a group, we will continue to process data from when they left the activity/group if we have permission. Participants have the option to opt out of this at any point by informing us via email, text etc.

Sharing your information: Your information will not be shared with third parties.
