Reasons for contacting you will be for your own interest, including but not limited to informing you of a cancellation of a class or a change in our class timetable, or to inform you of upcoming events that may be of interest. We believe that our communication to you will not be intrusive, and you have the option to opt out at any point.

Under the GDPR (General Data Protection Regulation) we control and process any personal information about you electronically using the following lawful bases:

What data do we process?

We keep a record of the full names of participants including those belonging to adults, parents/carers, and children. We also keep a record of mobile and/or landline telephone numbers and email addresses of participating adults including parents/carers.

How do we collect data?

For Tiny Toes Music and the Children’s Choir, data is generally collected via the third-party booking website Happity and/or on a paper registration form at our in-person classes. For the Wellbeing Choir and Chorus of Hope, information is collected on a paper registration form that is filled in by the participant on joining the group. This information is then transferred onto a code encrypted device e.g. laptop/mobile phone for the purpose of communication via email, WhatsApp and text.

If you contact Nicola Betts via email, WhatsApp, Messenger, text etc. to enquire about any of our services, we will respond accordingly.

How is the data stored?

Data is stored digitally on a password and anti-virus protected desktop and laptop computer and, on a password protected mobile phone.

Where data is collected using a paper registration form, it is stored in a secure folder on completion of the term and stored in a secure folder for up to 5 years.

How we use your data

In the event of a group being cancelled, our preferred method of contact to inform our participants is by email. However, we will contact some participants via text, WhatsApp, Messenger on request and where email is not an option.

We may send occasional emails to inform of any additional classes or workshops that are running that may be of interest to you. You can opt out of this at any time.

We may occasionally ask for feedback about the services we offer using a site such as Survey Monkey or Doodle Poll. All communication is direct from Nicola Betts.

Data retention period

From the time you stop attending a particular group, we will hold your data for no more than 5 years from the date of leaving after which time it will be deleted from our records and any paper copies destroyed (shredded). If you choose to opt out from our correspondence before then, all data will be deleted, and hard copies destroyed asap.

Online booking system

Tiny Toes Music and the Children’s Choir uses the website to handle bookings. If you book via happity, you are subject to their Privacy Policy and Terms and Conditions. These can be found at:

Bookings & Payment

For Tiny Toes Music, all bookings should be made online via our page on Happity

This is to minimize the handling of cash and congestion at the start/end of classes. For participants who are unable to access the online booking system, a reservation can be made through contacting Nicola Betts and payment can be made by BACs, contactless card machine or cash. Full payment terms & conditions are available on the website

If through personal circumstances you are unable to make a booking or payment upfront, please do not hesitate to contact Nicola privately to discuss PAYG options.

Photograph & Video Consent

All participants are required to give permission for their images to be used in photographs and videos either via email or face to face at at a particular group/activity.

I give permission for my image and the image of my child (un-named) to be used in photographs and videos connected with the Wellbeing Choir & Tiny ones Music etc. I understand the images may be used in printed and online publicity including social media and website. 

Consent for photograph permission is taken from all participants and updated at regular intervals. If participants leave a group, we will continue to process data from when they left the activity/group if we have permission. You have the option to opt out of this at any point by informing us via email, text etc.

Sharing your information: We will not share your information with third parties.
